Deleting a Mailbox

Step-by-step instructions on how to permanently delete a mailbox container and understand its impact on your emails.

1. Overview

If you no longer need an isolated mailbox container, you can delete it from your Admin Dashboard.


2. Why This Matters

Critical Warning: Deleting a mailbox is a permanent, irreversible action. Once deleted, all emails, threads, sent logs, and file attachments stored inside that mailbox will be permanently erased from MelMe's database.

Understanding the impact of mailbox deletion protects your business from accidental data loss.


3. How to Use It

Step 1: Pre-Deletion Checklist

Before clicking delete, ensure you have:

  • Saved or exported any important customer email threads.
  • Downloaded any critical file attachments.
  • Re-routed any active aliases pointing to this mailbox (otherwise, emails sent to those aliases will fail to deliver).

Step 2: Delete the Mailbox in MelMe

  1. Log in to the Admin Panel and select Mailboxes.
  2. Locate the mailbox you wish to delete.
  3. Click the Delete button (trash can icon).
  4. Review the confirmation warnings and confirm your action.

The mailbox and its contents are immediately deleted, and any active logged-in sessions on the My Mailbox app will be instantly terminated.


4. Common Mistakes

  • Leaving active aliases pointing to the deleted mailbox: If you forget to update or delete the aliases that were routed to the mailbox, they will become "orphaned" and bounce all incoming emails.
  • Accidental Deletion: Ensure you select the correct mailbox in the dashboard to avoid deleting important customer or billing logs.

5. Tips

Suspension Alternative: If you just want to stop users from logging into a mailbox or temporarily block incoming messages without losing your historical email data, toggle the mailbox Active switch to "Inactive" instead of deleting it!
