Best practices and settings to keep your mailbox containers and emails safe from unauthorized access.

1. Overview

Each Mailbox inside MelMe is an isolated environment protected by its own distinct password. Implementing solid security habits around your mailboxes is crucial to protect private communications.


2. Why This Matters

Your mailboxes hold sensitive conversations, invoices, customer data, and vendor communications. Compromised credentials can lead to data leaks or brand reputation damage if bad actors send unauthorized emails from your custom domain.


3. How to Use It (Security Best Practices)

To ensure maximum security for your mailboxes:

1. Strong & Unique Passwords

Avoid using simple, guessable words or reusing your personal passwords. Always generate a strong, unique password for each mailbox.

2. Regular Password Updates

You can update your mailbox passwords easily:

  • As Admin: Go to the Mailboxes tab, select the mailbox, edit its details, enter a new password, and click save.
  • Within My Mailbox: Users logged into a specific mailbox can navigate to the Reset Password page in the mailbox settings panel to change their password directly.

3. Isolated Permissions

Only share credentials with the specific people who need access to that mailbox. Do not give the same login details to all team members if they operate in different departments.


4. Common Mistakes

  • Reusing your Admin Account password: Never use your primary admin password for individual mailboxes. If an employee's mailbox credentials are leaked, you do not want your entire administrative workspace to be compromised.
  • Writing passwords down in insecure files: Use a secure company password manager (like Bitwarden or 1Password) to share mailbox login details with team members.

5. Tips

Security Alert: If an employee leaves your team, remember to immediately log in to your MelMe Admin Dashboard and change the password for the mailbox they had access to, terminating any active sessions.
